The Solution

SAAS Integrator used a mix of application programming interfaces (APIs), plugins, webhooks, and push notifications to implement the following solutions:

Product Data Integration

We set up a real-time data mapping solution to automatically sync DeBra’s’ product catalogue comprising 60,000 items between its Retail Express and Shopify Plus platforms. Under this solution, we mapped and updated various product-related data fields, such as the following:

  • Product titles
  • Stock-keeping units (SKUs) for simple and variable products
  • Product IDs or barcodes
  • Product types
  • Attributes like colour and size
  • Meta fields like style
  • Custom Shopify tags
  • Parent SKUs for variable products
  • Promotional prices and expiry dates
  • POS prices
  • Core products (backorder or sell below zero products)
  • Brands or vendors
  • Inventory levels

We also synchronised product variants based on attributes such as colour swatches and sizes across Retail Express and Shopify Plus. It helped DeBra’s manually update its massive product range and avoid errors and redundancies.

Multi-Store Inventory Management

SAAS Integrator established a syncing solution to fetch real-time stock updates from DeBra’s’ Retail Express system and sync them to its Shopify Channel for its Penrith and Gold Coast store outlets. It helped the brand instantly update inventory levels for both stores across both systems, enabling timely stock availability across locations and accurate and prompt order fulfilment.

Real-Time Updates of Orders, Freight, and Promotions

Considering DeBra’s saw a massive influx of orders daily on its Shopify Plus store, we set up the e-commerce platform as the source of truth for order data. We mapped it with Retail Express, ensuring real-time order status updates on the POS system. We also synced related details such as order reference numbers, billing and shipping addresses, contact numbers, and order adjustments for accurate order fulfilment.

Moreover, we set up a comprehensive integration solution keeping in mind DeBra’s’ specific hierarchy for order sourcing and fulfilment for non-core products from its Penrith and Gold Coast stores. Our inventory mapping solution ensured Retail Express would not pass orders with zero stock levels. Also, we allocated Penrith as the priority store for sourcing order items and synced ITOs when the Gold Coast store would send stock to Penrith for order fulfilment. We also assigned Gold Coast for order sourcing if all items of an order were available only at this outlet.

DeBra’s also wanted to map freight, discount coupons, and gift cards from Shopify to Retail Express, which our solution enabled. It allowed the company to seamlessly update these details across systems without manual intervention, saving time and effort.

Setup of New Customer Accounts in Retail Express

We integrated DeBra’s’ customer information across Retail Express and Shopify Plus, including their account IDs, email addresses and billing and shipping addresses. It allowed the company to track new genuine customers placing orders on its Shopify store and map their data to Retail Express, helping create new customer accounts in the POS system.

Results and Impact

SAAS Integrator’s custom connectivity solution helped DeBra’s resolve its operational challenges and streamline its retail workflows. We mapped the company’s data flows for different modules such as products, inventory, locations, sales orders, freight, promotions, and customers and aligned our integration with its custom needs. It helped DeBra’s seamlessly manage its vast product range, multi-store inventory, daily orders, freight, discount coupons, and gift cards and avoid data errors and duplication.

It also enabled DeBra’s to route orders to the correct store based on inventory levels and other custom requirements and map new Shopify customers to Retail Express.
